Important: This manual is published in terms of Section 51 of the Promotion of Access to Information Act, 2000 (PAIA). All businesses in South Africa are required to have a PAIA manual available for public access.

4. How to Request Access to Records

4.1 Who Can Request?

Any person (natural or juristic) may request access to records held by Vortin Digital, subject to the provisions of PAIA.

4.2 Request Procedure

To request access to records, you must:

  1. Submit a written request to the Information Officer
  2. Provide sufficient information to identify the records requested
  3. Specify the form of access required (e.g., copy, inspection, electronic)
  4. Include proof of identity (if requesting personal information)
  5. Pay the prescribed fees (if applicable)

5. Fees

Fees for access to records are prescribed by the Information Regulator. The following fees may apply:

Service Fee (ZAR)
Request fee (non-refundable) R35.00
Photocopy (per A4 page) R1.10
Printed copy (per A4 page) R0.75
Copy on CD/DVD R70.00
Search and preparation (per hour) R30.00
Postage (if applicable) Actual cost

Note: Fees are subject to change as prescribed by the Information Regulator. We will inform you of the exact fees before processing your request.

Deposit: If the estimated fees exceed R50.00, we may require a deposit of one-third of the estimated fees before processing your request.

6. Response Time

We will respond to your request within 30 days of receipt, as required by PAIA. If the request is complex or involves a large volume of records, we may extend this period by an additional 30 days, and we will notify you of the extension.

7. Grounds for Refusal

We may refuse access to records in the following circumstances (as provided for in PAIA):

  • Mandatory protection of privacy of a third party
  • Mandatory protection of commercial information of a third party
  • Mandatory protection of confidential information of a third party
  • Mandatory protection of safety of individuals and property
  • Mandatory protection of records privileged from production in legal proceedings
  • Commercial information of the business
  • Confidential information of the business
  • Research information of the business or a third party

If we refuse access, we will provide reasons for the refusal and inform you of your right to appeal.

8.3 Website and Technical Records

  • Website analytics data (with consent)
  • Server logs and technical records
  • Backup files and archives
  • Domain registration records

  • Employee/contractor information (if applicable)
  • Employment contracts
  • Performance records

9. Availability of This Manual
